JOB DESCRIPTION:
Brief Description of Duties
- Manager is responsible of providing library and research services for the organisation and maintenance of the library and its collections.
- Manager reports directly to Museum Director and provides librarian and research services. Providing adequate services will ensure that materials are current, accessible, and available to library users when required.
Tasks:
1. Planning & Policies
- Establish and implement library and information policies and procedures
- Develop and manage convenient, accessible library and information services
- Develop and manager cost effective library and information services, technology and media
- Suggest targets and direction in building the collection, activities, contacts and others
2. Collection Building
- Responsible for identifying and contacting potential book supplier local and oversea
- Responsible for selection of library materials and recommendation for purchase approval
- Liaise with Museum Shop and Finance Department on purchase requisition and payment matters
- Responsible to ensure book received from suppliers are in good condition and to follow up with suppliers on the outstanding orders
- Acknowledge any receipt of book through gift, exchange and purchase from the Director’s Office and other departments
- Supervise and maintain good order and condition of library materials
- Ensure collection is checked on yearly basis to ensure they are good condition.
3. Cataloguing
- Supervise and ensure the cataloguing works at the library adhere to the general standards
- Authorise and ensure cataloguing records correct and adhere to library standards
- Ensure the automated library system in good order at all time and backup is performed consistently
4. Maintenance of Library Office
- Ensure the library office and system are in good condition and liaise with the Maintenance Department should any problem arises
5. Research Assistance
- Provide research assistance to Museum staff especially the Curatorial and Conservation staff
- Allocate lending service to museum staff to support research and publication projects at the museum
- Advice Museum Director and staff on the latest information relating the museum activities and research
6. Administrative
- Respond to daily on-site request for information
- Prepare and ensure monthly department report is submit on time
- Attending relevant meeting and functions inside and outside the office
- Document and maintain filling system for the library such as circulation files, records and statistics
- Reporting to the Director any needs, problems and suggestions
7. Recruitment and Supervision
- Liaise with HR in selection and interview staff and provide recommendation to HR Department
- Responsible for training and supervising staff in their works and administrative matters as advice by HR
8. Children’s Library
- Responsible for selection of children literature and recommend to Head of Education
- Responsible for receiving and cataloguing the books
- Advice the Education Executive regarding handling of books
Requirements:
- Preferably a Master in Library and Information Science or Library and Information Management; however, Bachelor’s degree in these fields may also be considered.
- Minimum 5 – 8 years of relevant experience
- Knowledge and experience in library management and systems.
- Knowledge of supervision, training and staff utilization principles.
- Excellent interpersonal and communication skills.
- Ability to take initiative and collaborate as part of a team.
- Ability to plan, organize, supervise and evaluate the work of employees in diversified library activities
- Experience in delivering efficient and effective library services.
- Willingness to engage in professional development, especially in information technology, to improve library services and support research and learning.
